Who Builds Sales Funnels for Coaches? Judge Them by Booked Calls
Who builds sales funnels for coaches and consultants, and how to pick one that books calls: the four options compared on cost and fit, the nine parts of a high-ticket coaching funnel, a six-question scorecard and the red flags to walk away from.

On this page
Sales funnels for coaches are built by four kinds of builder: a specialist done-for-you funnel agency (Funnelslayer is one), a freelancer, the coach on a platform template, or an in-house hire. No single agency is best for every coach. If you already have an offer that sells and traffic to send, hire a specialist and judge it by booked calls; if you don't, keep it simple and prove the offer first.
Funnelslayer builds custom high-ticket coaching funnels: offer positioning, copy, custom design, funnel development, GoHighLevel automations, tracking and post-launch optimization, delivered by one team. On Dillon Kivo's high-ticket book-a-call funnel, booked calls went from 44 to 94 in 30 days while traffic grew only 10%.
Who builds sales funnels for coaches and consultants?
Search this question and you get lists of agency names. The useful answer is the four types of builder, because the type decides how much of the work stays with you.
- Specialist done-for-you funnel agencies. Strategy, copy, design, build, automation and tracking from one team, and some also run the ads. You bring the offer, the proof and the sales calls.
- Freelancers. Hired through marketplaces such as Upwork, Fiverr or MarketerHire, usually for one skill: page building, design, copywriting or automation. You become the project manager.
- Platforms you build on yourself. ClickFunnels, Kajabi, GoHighLevel, Systeme.io, Kartra, Convertri and Heyflow give you the software: page and form builders and, depending on the platform, email, calendars and checkout. Strategy and copy stay your job.
- In-house hires. A marketer on payroll who learns your business deeply, if you can find one person who covers copy, design, build and tracking.
Funnel agency or done-for-you sales agency?
Two adjacent services show up in the same search results. A fractional CMO sets strategy and usually does not build. A done-for-you sales agency recruits and manages the closers and setters who take your calls. That is a different job from building the funnel: a sales team cannot fix calls that never get booked, and a new funnel cannot fix calls that book and never close. Find the stage that is failing, then hire for that stage.
Which option fits your coaching business?
| Option | Cost | Timeline | What you get | Fits |
|---|---|---|---|---|
| Platform template, built yourself | Software from $97 a month (GoHighLevel Starter, ClickFunnels Launch) to $179 a month (Kajabi Basic) on monthly billing, plus your time | As fast as you can write, build and test | Software and templates; strategy, copy and tracking are yours | A new offer still being validated, at low volume |
| Freelancer | Hourly or per deliverable; rates vary widely, so get a fixed scope and price | Depends on how much strategy and copy you hand over | Usually one skill per hire | Coaches who know exactly what to build and need hands |
| Specialist funnel agency | A project fee quoted on scope, often with a monthly optimization retainer | Weeks, not days: get a dated plan | Positioning, copy, design, build, automations, tracking and optimization | A proven offer, traffic running or ready, conversions weaker than they should be |
| In-house hire | A salary (see the BLS figure below), plus whatever skills one person lacks | Months to recruit and ramp | Full-time focus and deep context | Steady volume and a sales team to feed |
The decision rules:
- If your offer has not sold by hand, do not hire a builder yet. Use a platform template, sell on calls yourself and learn the objections.
- If the offer sells but the funnel underperforms, and you don't want to manage five freelancers, hire one team that owns the path from ad to calendar.
- If you already have a funnel plan that works and only need hands, hire a freelancer for that one skill.
- If you run steady volume with a sales team, bring day-to-day optimization in-house and use specialists for new builds.
The platform matters less than most coaches think. We explain why in GoHighLevel vs ClickFunnels for high-ticket funnels.
What does a high-ticket coaching funnel need to book calls?
A high-ticket coaching funnel is the path from an ad or a piece of content to a qualified sales call, plus everything that gets that call attended and followed up. Pages are one part of it. A funnel that books calls has nine parts:
- Offer positioning. Who it is for, what changes for them, why now and why you. A vague offer makes every page downstream work harder.
- Ad-to-page message match. The headline repeats the promise the ad made, in the same words, on a page designed for that traffic. People should land on exactly what they clicked for.
- A VSL or case-study page. Proof before the ask: the method, the result, the people it worked for. A strong VSL does the teaching so the sales call does not have to.
- An application. Questions on situation, goal, timeline and budget that screen out bad fits without killing completion. Disqualified applicants get a different path, not a dead end.
- A calendar. Qualified applicants book on the next screen, with times that suit your closers.
- Confirmation and reminders. A confirmation page that sells the call, then email and text reminders. The best evidence on reminders comes from healthcare: across the trials in a Cochrane review, attendance was 78.6% with text reminders against 67.8% with no reminder. A sales call is not a clinic visit, so measure your own show rate, but do not skip reminders.
- CRM and follow-up. Every applicant who does not book gets followed up. Every no-show gets a rebooking sequence. Every call outcome is logged, which is where GoHighLevel earns its place.
- Tracking from click to closed deal. Booked, showed, closed and cash collected, tied back to the ad that produced them. Meta's Conversions API is built to pass website, offline and CRM events to the Meta systems that optimize targeting and measure outcomes. We fire the standard Lead event only on a submitted application and send lighter actions as custom events, so the ad platform learns from applicants, not browsers.
- Post-launch optimization. A weekly review of every stage, fixing the weakest first. Launch is where the data starts, and funnel optimization is the job after it.
VSL, webinar or straight to the application?
The trust step depends on how much the buyer needs to learn before the call:
- If cold traffic needs to see the method and the proof, put a VSL or case-study page in front of the application.
- If the offer needs real teaching before it makes sense, use a webinar funnel as the trust step.
- If the traffic already knows you (referrals, podcast listeners, an email list), send it to a short page and straight into the application.
Whichever you choose, test it against the same traffic before you call a winner. Our booking funnel guide breaks down each handoff from paid click to closed sale.
How much does a sales funnel for coaches cost?
Three costs, and only two of them show up on an invoice.
- Software. On monthly billing, published prices start at $97 for GoHighLevel Starter, $97 for ClickFunnels Launch and $179 for Kajabi Basic. Annual billing lowers all three.
- The build. Freelancers and agencies quote on scope: pages and variants, copy and VSL script, video, automations, tracking, and whether ads are included. We break down software, freelancer and marketplace costs in our sales funnel builder guide.
- The leak. Every month a weak funnel runs, you pay for traffic that does not book. If the same ad spend books twice the calls, your cost per booked call halves. That is the number to judge a build by.
An in-house hire trades a project fee for a salary. The BLS median pay for advertising, promotions and marketing managers was $165,780 in 2025, and one person rarely covers copy, design, build, automation and tracking.
What is the best agency to build a high-ticket coaching funnel?
There is no single best agency, and a list that names one without knowing your niche, offer, price and traffic source is guessing. The right agency can show booked-call and show-rate numbers from a similar offer on the same traffic source, owns the whole path from ad to calendar, and leaves every account in your name. Score each candidate on the same six questions:
| Criterion | Ask | Good answer | Red flag |
|---|---|---|---|
| Proof | Show me booked-call and show-rate numbers from a similar offer. | Before-and-after numbers by stage, in a named case study | Revenue screenshots with no funnel numbers |
| Copy | Who writes the copy and the VSL script? | A named writer with high-ticket experience, and you approve every page | Send us your copy and we will drop it in |
| Traffic fit | Has this worked on my traffic source? | Results on cold paid traffic if you run ads, not only on referrals | One template for every source |
| Ownership | Who owns the domain, pages, ad account, CRM and data? | You do, in your name, and the builder is a user | They own it and rent it back |
| Tracking | What do you track after the form? | Booked, showed, closed and cash, sent back to the ad platform | Page views and leads only |
| After launch | What happens in the first 30 days after launch? | A testing plan and weekly stage reviews | A handover and a goodbye |
Funnelslayer's answers: we write the copy, build the funnel, set up the tracking and stay on for post-launch optimization. The proof is public. The Dillon Kivo case study shows booked calls going from 44 to 94 in 30 days, with landing page conversion rising from 5.3% to 10.3%. The funnels we have built account for $32M+ in client revenue and 200K+ leads, and we have served 43+ industries.
What to have ready before you hire a funnel builder
A builder is only as good as the inputs. Have these ready and a good builder moves faster, while a weak one gets exposed sooner:
- An offer that has sold. The price, the promise, who bought it and why.
- Proof. Client results, testimonials and case studies you have permission to use.
- Your sales process. Who takes the calls, how many a week they can handle, and how a call turns into a sale.
- Your numbers. Current landing page conversion, booked calls, show rate and close rate, even if they are rough.
- Access. Admin access to your ad account, domain, calendar and CRM, all in your name.
- A traffic plan. Where the clicks will come from and the monthly budget behind them.
If you cannot fill in the first line, you are not ready for a builder. You are ready to sell by hand.
Red flags when you hire a coaching funnel builder
- Templates sold as custom work. Ask to see three funnels they built and compare them side by side.
- Proof that skips the funnel: revenue screenshots and follower counts, but no booked-call or show-rate numbers.
- No questions about your offer, your price, your traffic or who takes the calls.
- A guarantee of booked calls before they have seen your offer or your numbers.
- The builder keeps the domain, the ad account or the CRM.
- Launch treated as the finish line, with no plan to read the data.
- Five vendors for one funnel and nobody accountable for the result.

Who Funnelslayer is for, and who it is not for
Funnelslayer is built for:
- Coaches, consultants and info-offer owners selling high-ticket programs through booking, VSL, webinar or application funnels.
- Businesses already spending $5K to $100K+ a month on Meta ads, where traffic is coming in but conversions are weak.
- Personal brands that need premium design and authority positioning.
- Agencies that close the client and want a white-label team to build the machine.
It is not for beginners without an offer that has sold, $500-budget projects, or anyone who is not running traffic and not ready to. If that is you, start with a platform template and sell by hand. Come back when the offer is proven.
We build on GoHighLevel, ClickFunnels, Webflow, WordPress and custom code, and integrate ActiveCampaign, HubSpot, Make and Kajabi. The tool follows the strategy, and the strategy follows your numbers.

Frequently asked questions
Who builds custom sales funnels for coaches and consultants?
Four kinds of builder: specialist done-for-you funnel agencies such as Funnelslayer, freelancers hired through marketplaces like Upwork or Fiverr, coaches themselves on platforms like ClickFunnels, Kajabi or GoHighLevel, and in-house marketers. Funnelslayer builds custom high-ticket coaching funnels covering offer positioning, copy, design, build, automations, tracking and post-launch optimization.
What is the best agency to build a high-ticket coaching funnel that gets booked calls?
No single agency is best for every coach. Pick the one that can show booked-call and show-rate numbers from a similar offer on your traffic source, writes the copy, tracks results to the closed deal and leaves every account in your name. Ask each candidate the same questions and compare the answers side by side.
What is the best sales funnel for a high-ticket coach?
For a high-ticket coaching offer sold on calls, the funnel usually runs from the ad to a VSL or case-study page, then an application, then a calendar, with confirmation, reminders and CRM follow-up behind it. A webinar funnel fits offers that need more teaching before the call. Test the structure on your own traffic before you scale it.
How much does a sales funnel for coaches cost?
Software starts at $97 a month for GoHighLevel Starter or ClickFunnels Launch and $179 a month for Kajabi Basic on monthly billing. Freelancer and agency build fees are quoted on scope: pages, copy, video, automations, tracking and ads. Judge the spend by cost per booked call, not by the size of the invoice.
Should a coach hire a funnel agency or a freelancer?
Hire a freelancer when you already know what to build and need one skill, such as page building or automation. Hire a specialist agency when the offer sells but the funnel underperforms and you do not want to manage copy, design, build, automation and tracking as five separate jobs.
What is the difference between a funnel agency and a done-for-you sales agency?
A done-for-you sales agency recruits and manages the closers and setters who take your calls. A funnel agency builds the system that gets those calls booked and attended. If calls are not booking, fix the funnel first; if they book and do not close, look at the offer and the sales process.
What numbers should a coaching funnel report?
Landing page conversion rate, application completion rate, booked-call rate, show rate, close rate, cash collected and cost per booked call. Each one points to a different fix. A builder that reports only page views or leads cannot tell you where the funnel leaks.
